After a major acquisition, this international company that provides government services and information technology support, decided to move away from PeopleSoft and Workday and migrate to Oracle Cloud HCM Core HR, Compensation Management, Absence Management, Performance Management and Learning Management.
Through the implementation project, the organization aimed to rationalize differences across departments, reengineer their business processes to leverage leading practices, deploy an efficient manager and employee self-service model and drive automation to minimize the manual burden on HR.
The implementation was a 19-month effort that included nearly 40 FTEs and provided support to more than 23,000+ users. The implementation was a migration from two on premise legacy systems (PeopleSoft and Workday) to a single, consolidated cloud system and serviced the entire enterprise made up of two merged legacy businesses, across 50 global locations in the United States; Europe, Middle East and Africa (EMEA); and Asia-Pacific (APAC) regions. The program consisted of multiple workstreams, including Core HR, Compensation Management, Absence Management, Performance Management and Learning Management.
Baker Tilly developed an implementation road map and approach to leverage best-practice, out-of-the-box design focusing on a modern and streamlined employee and manager experience. Baker Tilly leveraged a highly collaborative agile-like methodology to involve the client early and often in the design and future-state definition of their cloud system. We facilitated multiple workshops, design sessions and demonstrations dedicated to future state business process design. Through those workshops, we introduced native cloud toolsets (such as Business Process Manager, Role Based Security and User Interface design tools) that impacted the future state process harmonization, confirmed functions and fields to be enabled to support the optimized processes, and educated stakeholders on the “art of the possible” within the cloud system to support the future state vision. We were able to crosswalk and translate functionality from PeopleSoft to the Oracle Cloud application, while ensuring the client’s requirements were met and that they realized the value of the new features in the cloud. The cloud configuration and testing cycles were iterative, allowing us to build on the design and show incremental progress toward deployment. As future state process design was played back to the business, new capabilities were configured in the system to help the business validate their decisions as we went.
We concluded the migration with rigorous user acceptance testing and detailed cutover strategy and execution, reducing risk for the client and ensuring a smooth transition at go-live.
